Planning a CE Activity

The first step in planning an activity should be to review the instructions and resources provided below. If you decide to move forward with seeking continuing education credits, it is recommended that you contact the Continuing Education team at [email protected] to briefly discuss your activity before starting the application process.

Piedmont Healthcare can award credit to the following professions:

  • AMA PRA Category 1 CreditTM for physicians
  • ANCC credit for nurses
  • ACPE credit for pharmacists
  • AAPA Category 1 Credit for PAs
  • APA credit for psychologists
  • ASWB ACE credit for social work
  • BOC credit for athletic trainers
  • CPEU CDR credit for dietitians
  • IPCE credit

    (If the activity is planned by and for the health care team, you may add IPCE credit to the activity.)

You can also apply for other continuing education credit for other professions through direct application to those credentialing organizations. This is usually an activity-specific application. The approving body evaluates the submitted activity application and will designate CE credit to the activity you are implementing if it meets their criteria. Examples of approving bodies include American Society of Radiologic Technologists, Georgia Office of EMS and Trauma, and American Association for Respiratory Care. While the application process is very similar and typically requires much of the same information and documentation as that required by Piedmont, it is a separate application directly to the approving body. The CE team at Piedmont cannot do those applications for you.

Your planning committee should be comprised of representatives from each profession in your target audience that you wish to award credit to. Interprofessional continuing education (IPCE) is when education for two or more professions is planned by and for the healthcare team. If your activity meets this definition, please indicate this on the application.

The steps below are a guide for planners to ensure all required documentation is submitted.

NOTE: Applications must be submitted at least 30 days prior to activity start/implementation date.

  1. Download and review the PHC Planning Guide. This will provide helpful information that will make completing the on-line form easier.
  2. You will need the following items to complete the on-line application:
    1. Names and email addresses for all planners, speakers, and others involved in the development and implementation of the activity.
    2. A Program Agenda for activities greater than one hour in duration. This should include topics and speakers with their professional credentials. Be sure the agenda includes start/end times for presentations, breaks, and meals. This will be uploaded with the application. A draft agenda is acceptable. (word, excel, pdf)
    3. Needs Assessment Documentation, if available, (word, excel, pdf)
    4. Non-educational intervention(s) documentation, if available, (word, excel, pdf)
    5. A draft of any promotional items, if applicable.
      • Download the appropriate Accreditation and Credit Designation Statement. Share this with the graphic designer creating your printed and promotional items.

      • Please note: The CE Activity Application, and all Planner Disclosure of Financial Relationship forms must be reviewed and approved before any promotional materials are produced and distributed.
      • Email to [email protected] with the name of your activity in the subject line.
  3. Log onto the CloudCME portal and open up the Activity Application.
  4. Click on the Create New Application button

  5. Enter the activity information into the application. Complete each section. Click Save and Continue at the bottom of each screen and you will advance to the next application page

  6. Just a few notes:
    • Set-up (Basic Information)
      • Select all applicable credits you are applying for IN ADDITION TO Joint Accredited.
      • NOTE: Select “Other” if you are applying for credits from another approving body. On the Credits & Sessions tab, under credits, you may add in the other credits for which you have received approval. CloudCME can generate completion certificates for these other professions based on the profession of the learner found in the learner profile.
    • Objectives and JA Outcomes
      • Must select at least one, learner knowledge alone is not adequate.
  7. Click Save and Continue after each section. When it is complete, select Return to Applications List and select “Submit for Review.”

You may save the application and come back and complete it at a later time. Other members of the planning committee can also review and edit it as well.

To access an existing Activity Application, click on the activity name in the activity table, and the activity application will display. To edit/review application, click on the pencil icon in the Edit column. Click Update as you make changes.

Due at least one week in advance of activity

  • Completed Speaker/Faculty Financial Disclosure Forms

    Enter all confirmed speaker/faculty names and email addresses in the “Planners and Faculty” section of the application form. The CloudCME portal will automatically send an email with instructions to complete the Financial Disclosure Form to each speaker.

    Speaker Financial Disclosure Forms are not required to be completed for CE Application approval, however, all must be submitted in advance of the activity date.

  • Mitigation of Conflict(s) of Interest Review for Presenters

    This is not applicable for speakers who do not list a relevant conflict.

    If this review cannot be completed before the activity, the presentations cannot be designated for CE credit, and the total credits for the program/activity will be reduced.

  • Disclosures to Learners

    Must be presented to all learners either by printed handout and/or powerpoint slide(s). This information must be shared with your learners before the activity begins, even if no financial relationships are declared and/or no commercial/in-kind support has been provided. Download the appropriate Disclosure Slide and edit as needed for your activity.

    • Disclosure to Learners Slide – Piedmont Activity
    • Disclosure to Learners Slide – Joint Provided Activity

    Submit the handout and/or the powerpoint slide(s)/pdf to [email protected] with the name of your activity in the subject line.

Due within 15 days of activity end date

  • Copy of final program syllabus and all instructional materials distributed

    Submit to [email protected] with the name of your activity in the subject line.

  • Copy of final marketing materials

    Submit to [email protected] with the name of your activity in the subject line.

  • Income for Activity

    A final report summarizing income from exhibit/advertising, registration fees, government grants, and other sources of income for the activity is required. Download and complete:

    • CE Activity Income Report

    Submit to [email protected] with the name of your activity in the subject line.
